PROJECT COORDINATOR
Location: Portland, OR
Overall purpose of the position
The Project Coordinator role supports project managers and project teams, particularly on larger, complex projects involving multiple staff members and subconsultants. The Project Coordinator assists with project management and project administration functions to help make large projects run smoothly. The Project Coordinator may occasionally support ECO’s operations team on key internal initiatives and events.

Essential functions of the position
Responsibilities:
Project management support:
- Assist in creating and updating project schedules, including updating timelines in project management software.
- Assist with internal and external project meetings (e.g., meeting scheduling, distributing agendas or materials, note-taking/capturing action items).
- Assist with setting up, monitoring, and updating project budgets.
- Help to prepare invoices in collaboration with the accounting department.
- Support project proposals (e.g. compile resumes tracking and coordinating information requests from subconsultants).
- Assist with organizing and maintaining project files, including setting up and coordinating access to online file-sharing platforms.
- Coordinate public engagement and stakeholder involvement activities, including scheduling meetings, assisting with outreach materials, and documenting feedback from community events and stakeholder interactions.
- Assist in preparing presentations, reports, and other project-related materials.
- In collaboration with a Project Lead, anticipate project and team needs and proactively address issues with an emphasis on collegiality, sound judgment, and initiative
- Conduct preliminary research and synthesize key information for team reference.
- Update and maintain accurate project data in project management software
Support ECO operations:
- Support ECO’s office manager and communications lead on event planning, internal projects, and other administrative needs as directed.
Required Competencies
Content Knowledge and Technical Skills
- Bachelor’s degree in a related field
- 1–5+ years of experience in project coordination, communications, public relations, or a related field, preferably in the A/E/C industry
- Highly organized and detail-oriented
- Clear and professional written and verbal communication skills
- Adept and self-directed at learning new tools and technologies
- Proficient in Microsoft Office suite (Word, PowerPoint, Excel)
- Ability to manage competing priorities and tight deadlines effectively
- Ability to understand and implement established policies, procedures, and corporate tools
- Ability to work collaboratively and respectfully in an interdisciplinary team environment
- Ability to work effectively with diverse internal and external stakeholders
- Ability to be resourceful

ECOnorthwest offers a hybrid work schedule. To ensure opportunities for collaboration and teamwork, with the exception of remote workers, employees are expected to prioritize in-office work Tuesday through Thursday.
Schedule:
Generally full-time, Mon-Fri 8-5.
